ACG NY COVID-19 Protocols
ACG NY is committed to the safety, good health and well being of all ACG members and event attendees across all in person conferences, curated private meetings and programs. ACG NY is taking the following precautionary steps to ensure a safe ACG NY season for all participants:
Official NYC Protocols (Updated Sept. 1st, 2021)
New Yorkers and any visitors age 12 and older are required to show proof of vaccination to participate in indoor activities at New York City restaurants and bars, fitness gyms, and entertainment and recreational settings including movie theaters, music or concert venues, casinos, botanical gardens, commercial event and party venues, museums and galleries, aquariums, zoos, professional sports arenas and indoor stadiums, convention centers and exhibition halls, performing arts theaters, bowling alleys, arcades, indoor play areas, pool and billiard halls, and other recreational games.
Proof of at least one dose of the vaccination will be required upon entry by all ACG NY staff, venue employees and attendees/delegates.
Eligible proof of vaccination includes the NYC COVID Safe App, the New York State Excelsior App, a photo or hard copy of a CDC vaccination card, official vaccine record, or a photo or hard copy of an official vaccination record of a vaccine administered outside the United States for one of the following vaccines: AstraZeneca/SK Bioscience, Serum Institute of India/COVISHIELD and Vaxzevria, Sinopharm or Sinovac.
Enforcement by the City will begin on September 13, 2021. Penalties for failure to comply after this date start at $1,000 and can reach $5,000 for repeated violations. NYC & Company is working with the City to assist businesses including ACG NY event venues with information and tools to implement these new requirements.
All ACG NY event attendees must abide by any COVID-19 protocols enforced by the state, city and venue.
- NYC officials suggest masks be worn indoors, regardless of vaccination status, unless not required by the Venue.
- ACG NY venues will ensure all attendee Health & safety disciplines such as spacing and safe consumption of any food and beverage on site will be carefully administered but always making sure we execute a fun and normal event.
- Wipes and hand sanitizer will be supplied at venue for attendees to sanitize throughout the event.

As any ACG NY event approaches, if any of the following apply, please cancel your registration: you have tested positive for COVID-19; are waiting for COVID-19 test results; have COVID-19 symptoms; or If you have had close contact with a person who has tested positive for or who has symptoms of COVID-19. ACG NY will apply a credit for a future event if your choice. Credit must be applied by 08/31/2022.
We understand that this situation is fluid, and ACG NY will continue to monitor and consult with our key stakeholders & partners, and will update you with any changes between now and any event day.

Conference Fee
The Conference fee entitles the Attendee to attend all non-restricted Conference sessions and refreshment breaks, including coffee breaks, lunch and the event cocktail reception. Note that some certain sessions and receptions may be invite-only or restricted to a particular type of Attendee. The fee also includes conference materials, which will be presented to the Attendee at the Conference and any subsequent materials made available to Attendees online after the Conference when applicable. Where applicable all Conference Attendee fees will be subject to local purchase tax rates.
Payment
Payment in full must be made to ACG NY prior to the Conference taking place. Payments can be made by American Express, Visa, MasterCard or by wire transfer. If registering four weeks or closer to the Conference date, Attendees MUST pay by credit card.
Attendee Cancellation and Non-Attendance:
All non COVID 19 related cancellations must be made in writing (by letter or email – proof of receipt will be required) to the relevant contact at ACG NY for that Conference.
Any non COVID 19 cancellation received more than 28 days prior to the Conference date will be subject to a cancellation fee equal to 50% of the Conference cost; however, you may elect to receive a credit in the amount of the cancellation fee to be applied to a future ACG NY event occurring within 12 months from the date of issuance of the credit.
No refunds will be made for cancellations made within 28 days of Conference, however, you will receive a credit in the amount of 100% of the Conference fee paid to be used at another ACG NY event occurring within 12 months from the date of issuance of the credit.
Please also note that you can substitute another person instead of cancelling (see below); provided, if you do not advise ACG NY that you are cancelling your Attendee place(s) or that you are substituting another person or people in your place(s) then you remain liable for the full Attendee fee(s). Non-attendance at the Conference does not waive your liability to pay for the Attendee place(s) booked by you or on your behalf and ACG NY reserves the right to use all necessary means to receive payment from you, including the issuance of legal proceedings. Substitution Policy
Substitutions within organizations may be arranged as long as ACG NY is notified in writing in advance of the Conference. No substitutions may be made with an Attendee from another company and under no circumstances can a Attendee registration be shared.
Postponement
In the event that ACG NY postpones a Conference, Attendees registered for the Conference have the option to either wait to attend the Conference at the rescheduled time (ACG NY to retain the Attendee payment if already made) or to have the payment credited to a future ACG NY event. This credit will be available for use for the next 12 months from the date that the credit is issued by ACG NY.
Conference Cancellation
If ACG NY is obliged to cancel any Conference then any Client will be offered the choice of either transferring their registration to another ACG NY Conference of their choice that is scheduled in the next 12 months or to receive a full refund of any payment received by ACG NY for that particular Conference from that Client. Any refunds will be made within 30 clays of written notice having been issued by ACG NY that the Conference has been cancelled.
Force Majeure
If for any reason beyond ACG NY’s reasonable control (including but not limited to: strikes; acts, regulations or orders of governmental authorities; civil disorder; disasters; acts of terrorism; acts of war; acts of God) it is impossible to run a Conference, ACG NY will as a first choice look to postpone the Conference (see Postponement above) but reserves the right to retain some or all Attendee fees as a contribution to all venue and administrative costs incurred.
Travel and Accommodation
ACG NY is not accountable for booking any transportation or accommodation required by Attendees nor for any transfers to and from the conference venue. Although ACG NY will work with the hotel hosting a Conference to secure a preferential Attendee rate for those attending the Conference there, ACG NY makes no assurances as to the availability of this rate nor of the hotel services offered. ACG NY will not accept liability for any public or individual transport disruption or deferral. In such circumstances, ACG NY’s standard cancellation policy applies.
We advise that you do not engage with any third-party travel company. If directly contacted by a third party, we advise that you are vigilant and do not hand over any personal details. If in doubt, please contact admin@acgnyc.org.
Speakers and Agendas
Please be aware that all speakers are confirmed at the time of the published agenda, however, circumstances beyond the control of ACG NY may necessitate substitutions, alterations or cancellations of the speakers and/or topics. ACG NY reserves the right to alter or modify the advertised speakers and/or agenda topics if necessary. Please visit the relevant Event Page, which is updated regularly.
Acceptance of Registration
ACG NY reserves the right to decline a registration for a Conference for any reason at any time up to and including the first day of the Conference. ACG NY will refund any payment in full relating to any such registration that ACG NY chooses to decline within 30 days of notifying the Attendee of this decision.
